Outsourcing bookkeeping in the AI era: what AI can't do, and a VA + AI can

What AI can and can't do in your books, and how to split bookkeeping between AI, an offshore bookkeeper and your accountant.

AI can read receipts, suggest bank matches and draft reports, but it can't own your books. Outsourced bookkeeping works best when a trained bookkeeper uses AI for the data work and spends their time checking, chasing and fixing. For Australian small businesses, that means cleaner books in fewer paid hours.

This post is part of our guide to why AI won't replace virtual assistants. It covers what AI already handles in bookkeeping, where it falls short, and how to split the work between AI, an offshore bookkeeper and your accountant.

What can AI already do in your bookkeeping?

More than most owners realise, and most of it is already in software you pay for. Xero now promotes its built-in AI as “JAX – your AI finance partner”, and receipt capture and bank-feed matching tools have used machine learning for years.

Used well, AI can:

  • read supplier invoices and receipts and pull out the date, amount, GST and supplier

  • suggest bank reconciliation matches based on past coding

  • flag possible duplicate bills

  • draft month-end summaries and cash flow commentary

  • answer “how much did we spend on fuel last quarter?” in plain English

Australian SMEs that use AI mostly use it this way. The National AI Centre found data analytics was among the top uses (54% of adopters), level with content generation.

What can't AI do for your bookkeeping?

AI can't take responsibility for the numbers. It suggests and someone has to decide. The gaps that matter most:

  1. Missing paperwork. AI can't email a tradie three times for a tax invoice or ring a supplier about a statement that doesn't match.

  2. Context. It doesn't know that a transfer to your partner's account was a loan repayment, or that one client is always 60 days late.

  3. Judgement on coding. Is it a repair or a capital improvement? Is that subscription personal? Wrong answers flow straight into your BAS.

  4. Spotting what looks wrong. A sudden change in a supplier's bank details is a fraud warning sign. AI may match the payment without a second thought.

  5. Accountability. When your accountant has a question, somebody needs to know the answer and fix the file.

This is why the same National AI Centre research found that around 65% of non-adopting SMEs want to keep human control over their processes. With bookkeeping, that caution is sensible.

What does a bookkeeping VA + AI workflow look like?

A typical weekly cycle for an offshore bookkeeper using AI:

  1. Monday: capture. AI pulls in bills and receipts from email and the receipt app. The bookkeeper checks every extracted figure against the source document.

  2. Tuesday: reconcile. AI suggests matches in the bank feed. The bookkeeper accepts, recodes or queries each one, and chases anything unexplained.

  3. Wednesday: receivables. The bookkeeper sends AI-drafted, personalised payment reminders and updates you on who's overdue.

  4. Thursday: payables. The bookkeeper prepares the payment batch for you to approve. They never release payments themselves unless you set it up that way.

  5. Friday: report. AI drafts a one-page summary. The bookkeeper checks the numbers and adds what you actually need to know.

The AI does the repetitive parts in minutes. The bookkeeper's hours go into checking and chasing, which is where errors are caught. See what this role covers on our bookkeeping role page.

What should you outsource, and what should stay in Australia?

Outsource the volume and keep the sign-offs local.

Work

Who does it

Data entry, receipt capture, reconciliations

Offshore bookkeeper + AI

Accounts receivable and payable admin

Offshore bookkeeper + AI, you approve payments

Payroll preparation

Offshore bookkeeper, you or your accountant approve

BAS preparation

Offshore bookkeeper prepares, your registered BAS or tax agent reviews and lodges

Tax advice, year-end, structuring

Your Australian accountant

If your accountant or BAS agent uses offshore staff, the Tax Practitioners Board is clear that services provided from outside Australia must be provided competently, just as within Australia, and the agent stays responsible. Accounting firms can read more in how firms use offshore staff + AI to grow capacity.

How much does outsourced bookkeeping cost with AI?

The cost has three parts:

  • Software you probably already pay for. Xero's Comprehensive plan is listed at $107 AUD a month at its usual price.

  • An AI assistant seat for drafting and analysis. ChatGPT Business starts at A$28 a month billed annually.

  • Your bookkeeper. Through Elephant Teams that's their wage plus either Ready for You ($5,999 + GST, one-off) or Managed for You ($1,000 a month per team member). See our services.

Compare that with a local hire. The Australian national minimum wage alone is $26.44 an hour from 1 July 2026, before super and on-costs, and experienced bookkeepers earn more than that. For a worked comparison, see AI tools vs hiring a VA: the real cost.

How do you keep your financial data safe offshore?

Treat access as something you grant and can take back:

  • Give your bookkeeper their own user login in Xero or MYOB with the minimum role they need. Never share your login.

  • Turn on multi-factor authentication everywhere.

  • Use a business AI plan. ChatGPT Business, for example, says it does no training on your business data by default.

  • Keep payment approval with you.

  • If you hold customers' or employees' personal information, check your obligations under Australian Privacy Principle 8 on cross-border disclosure.

Ready to hand over the books?

You can hire a bookkeeper two ways:

  • Ready for You ($5,999 + GST, one-off): we recruit and hand over, and you manage day to day.

  • Managed for You ($1,000 a month per team member): we recruit, onboard and keep supporting you and your bookkeeper.

Both are available in Sri Lanka, which has a deep accounting talent pool, and the Philippines. If you need broader admin support as well as the books, a virtual assistant with bookkeeping skills may suit better. Compare the options on our services page.

Frequently asked questions

Can AI do my bookkeeping without a person?

Not reliably. AI can extract data from receipts and suggest bank matches, but it can't chase missing paperwork, understand context or take responsibility for coding decisions that flow into your BAS. A person needs to review and own the books.

What bookkeeping tasks should I outsource?

Data entry, receipt capture, bank reconciliations, accounts receivable and payable admin, and payroll and BAS preparation are good candidates. Keep payment approvals with you, and keep BAS lodgement and tax advice with your registered agent or accountant.

Is it safe to outsource bookkeeping offshore?

It can be, with the right controls: separate user logins with limited roles, multi-factor authentication, business-grade AI tools that don't train on your data, and you approving payments. Check your Privacy Act obligations if you share personal information overseas.

How much does it cost to outsource bookkeeping through Elephant Teams?

You pay the bookkeeper's wage plus either a one-off $5,999 + GST recruitment fee (Ready for You) or $1,000 a month per team member (Managed for You). Software such as Xero and an AI assistant seat are separate.

Is Sri Lanka or the Philippines better for bookkeeping?

Both can work. Sri Lanka is known for its large pool of accounting students and professionals, which suits bookkeeping and finance roles. The Philippines has a very large outsourcing workforce and suits roles that mix bookkeeping with general admin.
