Hire Offshore Accounts Payable Support: A Dedicated Offshore AP Officer
An offshore accounts payable officer processes supplier invoices, matches them to purchase orders, reconciles supplier statements and prepares payment runs for your approval. Elephant Teams recruits full-time AP officers in Sri Lanka and the Philippines for Australian businesses. Payment approval and release stay with your authorised people in Australia.

Signs your payables need a dedicated person
Accounts payable usually gets its own person once invoice volume passes what a bookkeeper or office manager can process well. Common signs: suppliers chasing overdue payments, duplicate payments slipping through, early-payment discounts missed, or month-end delayed by invoices nobody has coded. A full-time AP officer brings the process back under control at a fraction of a local salary.
What your offshore AP officer handles
- Invoice capture and coding. Process invoices from a shared inbox or capture tool, and code them to the right account, job and tracking category.
- Three-way matching. Match invoices to purchase orders and delivery records, and hold mismatches for query.
- Approval routing. Route invoices to the right approver and follow up on approvals that stall.
- Payment run preparation. Build the weekly or fortnightly payment batch with remittances for your approver to release.
- Supplier statement reconciliations. Reconcile monthly statements and resolve differences before they become overdue reminders.
- Supplier master data. Set up new suppliers with ABN checks and keep bank details current.
- Payables reporting. Aged payables, upcoming cash commitments and accruals for month-end.
- TPAR data. For building, cleaning, courier and other relevant industries, keep contractor payment data ready for the annual Taxable Payments Annual Report (due 28 August).
Controls that protect your cash
Payment fraud through fake supplier bank-detail changes is a common risk in Australian payables. We recommend a simple control set from day one, and your AP officer works within it:
- They prepare payments but can't release them. Release stays with an authorised Australian signatory.
- Any change to supplier bank details is confirmed by phone, on a number already on file, before it's saved.
- Their user permissions in Xero, MYOB or your ERP are limited to what the role needs.
Software and tools
Mid-sized Australian businesses run AP across many systems, so the skills assessment is matched to yours. Common ones: Xero with ApprovalMax or Dext, MYOB Acumatica, NetSuite, Microsoft Dynamics 365 Business Central, SAP Business One and Sage Intacct. AP automation tools include Lightyear, Bill.com, Yokoy and Medius. Every AP officer needs strong Excel for statement reconciliations.
Qualifications we screen
AP doesn't need a licence. The skill is accuracy and control discipline at volume.
- Sri Lanka: commerce graduates and AAT Sri Lanka, CIMA or ACCA part-qualifiers. Many have worked in the shared-services and finance-outsourcing centres that serve global companies.
- Philippines: BS Accountancy, BS Accounting Technology or BS Business Administration graduates, often with AP experience at a shared-services centre for Australian, US or UK companies.
- Everyone: a skills assessment that can include coding a batch of invoices, spotting a duplicate and a mismatched PO, and reconciling a supplier statement.

Sri Lanka (UTC+5:30) is 4.5 hours behind AEST and 5.5 behind AEDT. Invoices that arrive during your day can be coded, matched and queued by the next morning. An overlap window covers approval questions. Sri Lanka's finance shared-services sector gives AP candidates experience with high-volume, controlled processes and large ERPs.
The Philippines (UTC+8) is 2 hours behind AEST and 3 behind AEDT, so your AP officer works almost your full day. That helps when supplier calls, urgent approvals and same-day payment requests are part of the job. The Philippines has one of the world's largest finance-and-accounting outsourcing workforces, and AP is one of its most common roles.

Plan options for an accounts payable officer
If your financial controller or accountant already owns the AP process and controls, Ready for You (employ them yourself or through us) is the low-cost route. If AP is moving from an owner's desk to a dedicated person for the first time, Managed for You adds onboarding playbooks, documented procedures and regular check-ins. That structure matters most for a role that touches payments.

Frequently asked questions
Can an offshore accounts payable officer release supplier payments?
We recommend they don't. Best practice is that your AP officer prepares the payment batch and an authorised person in Australia approves and releases it. That keeps control of your bank accounts onshore.
How do I stop payment fraud with an offshore AP team member?
Separate preparation from release, verify every supplier bank-detail change by phone on a number already on file, and limit system permissions to what the role needs. These controls apply whether your AP officer is local or offshore.
Which systems do your AP officers work in?
We match the skills assessment to your stack, such as Xero with ApprovalMax or Dext, MYOB Acumatica, NetSuite, Business Central, SAP Business One or Sage Intacct.
What does it cost to hire offshore accounts payable support?
A local accounts payable officer costs about $7,250 a month including super, based on SEEK's median salary (our estimate). We confirm the offshore wage before you commit. Our fee is $5,999+GST once, or $1,000 a month.
Should my AP officer be in Sri Lanka or the Philippines?
The Philippines suits AP roles with frequent supplier calls and same-day requests. Sri Lanka suits high-volume processing where an overnight turnaround is useful. Both have deep shared-services talent.
