Business process outsourcing vs offshore staffing: what is the difference?

What business process outsourcing (BPO) means, how it differs from dedicated offshore staff, and how to choose.

Outsourcing means paying another business to do work you would otherwise do in-house. Business process outsourcing (BPO) is outsourcing a whole process, such as customer service, payroll or accounts payable, to a provider that runs it with its own people and methods. Offshore staffing is different: you get a dedicated, full-time person overseas who works only for you, inside your systems and processes.

What is business process outsourcing (BPO)?

With BPO you buy an outcome. The provider decides who does the work, how it is done and often which tools are used. You usually pay per transaction, per hour or per seat, and staff may work across several clients. BPO suits high-volume, standardised work where you care about the result more than who does it, such as overflow call centres.

What is offshore staffing?

With offshore staffing you hire a person, not a process. Your offshore bookkeeper, AP officer or virtual assistant works full-time on your tasks, in your software, and takes direction from you. A provider recruits them and can run payroll and compliance, but the day-to-day work is yours to direct.

BPO vs offshore staffing at a glance

  • Control: BPO, the provider runs the process. Offshore staffing, you direct the work.

  • Dedication: BPO staff may be shared. Offshore staff work only for you.

  • Knowledge: with BPO, process knowledge sits with the provider. With offshore staff, it builds inside your team.

  • Pricing: BPO is often per task or hour. Offshore staffing is usually a monthly wage plus a fee.

  • Best for: BPO, standardised high-volume work. Offshore staffing, ongoing roles that need judgement and knowledge of your business.

Which is right for your business?

If the work changes often, touches your clients or needs someone who knows your business, a dedicated offshore hire usually works better than BPO. If you just need a standard task done at volume and do not want to manage anyone, BPO may suit. Many Australian accounting firms, property businesses and growing SMEs choose dedicated staff for finance and admin because quality and continuity matter. See how it works in your industry.
