Hire an offshore medical billing specialist

We recruit full-time medical billing specialists in Sri Lanka and the Philippines who prepare and check Medicare, DVA, health fund and third-party claims, follow up rejections and keep your aged debtors down. They work only for your practice, in your practice software, while your team keeps every clinical and billing decision.

Quick answer

How much does an offshore medical billing specialist cost?

A full-time offshore medical billing specialist costs a monthly salary plus our fee. Salaries typically run A$900–1,500 a month in Sri Lanka and A$1,500–2,400 in the Philippines. Our fee is $5,999 + GST once, or $1,000 a month with no upfront fee. Hiring takes 3–4 weeks. Specialists who know Australian MBS item rules and in-hospital billing earn the most.

What the role covers

Claims checked, lodged and followed up every day

Rejected claims, unpaid gaps and old invoices cost practices real money, and front desk staff rarely have time to chase them. A dedicated billing specialist works through the claims and debtors every day in your practice software, and refers anything that needs a clinician or practice manager decision.

Claim preparation and checks

Check item numbers, referral dates, provider numbers and patient details before Medicare, DVA and health fund claims go out.

Rejections and reprocessing

Work the rejection and exception reports, fix the cause and resubmit, or flag the claim for a clinician to review.

In-hospital and specialist billing

Prepare in-hospital and gap claims through your software's ECLIPSE connection, and send informed financial consent estimates for review.

Third-party and compensation claims

Invoice WorkCover, TAC, icare, NDIS and insurer accounts, and chase approvals and payments.

Aged debtors and reconciliation

Chase overdue patient and third-party accounts, match remittances and payments to invoices and keep the debtors report clean.

Billing reports

Send a weekly report on claims lodged, rejections, payments received and debts over 30, 60 and 90 days.

How we screen

What we test before you see a shortlist

Every candidate has phone and video interviews with our recruiters and a skills assessment set for your role. For a medical billing specialist that covers:

  • A claims check on sample patient accounts with planted errors in item numbers, referrals and patient details
  • Knowledge of MBS item descriptors, bulk billing, DVA and private health fund claiming in Australia
  • A rejection report exercise: explaining the likely cause of each rejection and the fix
  • Privacy awareness for health information, and written English for patient and insurer emails

Medical Billing Specialist FAQ

Common questions

Two colleagues planning work at a whiteboard
How is a medical billing specialist different from a medical virtual assistant?

A medical virtual assistant covers general practice admin: bookings, recalls, referrals and some billing. A medical billing specialist works only on claims, rejections, third-party accounts and debtors. Specialist practices and busy clinics with a growing debtors list usually need the specialist.

Can they log in to PRODA or HPOS for us?

Usually not. PRODA accounts are tied to an individual's Australian identity check, so those logins stay with your local staff. The specialist works through your practice software, which sends claims through its own Medicare and health fund connections.

Do they decide which item numbers to bill?

No. Clinicians choose the services and item numbers. The specialist checks that claims are complete and consistent with the MBS rules you have set, and queries anything that looks wrong with the clinician before it goes out.

Is it safe to share patient records with an offshore billing specialist?

It can be, with the right setup. Limit their access to billing screens, use named logins, keep work on a managed device and cover overseas access in your privacy policy, as the Australian Privacy Principles expect. Our IT options add managed devices and security monitoring.

Can they handle allied health and NDIS billing?

Yes. Physiotherapy, psychology and other allied health practices often hire them for HICAPS reconciliation, health fund claims, NDIS plan-managed and agency-managed invoices, and compensation claims.

How much does it cost in total?

Add the monthly salary to our fee. Ready for You is $5,999 + GST once, then $0 a month if you employ them or $350 a month if we employ them as Employer of Record. Managed for You is $1,000 a month on a 12-month commitment with no recruitment fee. IT options are extra and quoted with your role.
