Hire an offshore ecommerce virtual assistant

We recruit full-time ecommerce virtual assistants in Sri Lanka and the Philippines who keep your online store running: product listings, orders, stock, suppliers, marketplaces and customer messages. They work only for your store, inside your Shopify, WooCommerce or marketplace accounts.

Quick answer

How much does an offshore ecommerce virtual assistant cost?

A full-time offshore ecommerce virtual assistant costs a monthly salary plus our fee. Salaries typically run A$750–1,250 a month in Sri Lanka and A$1,300–2,100 in the Philippines. Our fee is $5,999 + GST once, or $1,000 a month with no upfront fee. Hiring takes 3–4 weeks. Assistants who also run marketplaces and inventory earn the most.

What the role covers

The store admin done every day, so you can grow it

Most store owners spend their evenings uploading products, chasing suppliers and answering order emails. A dedicated assistant takes that work on in your own accounts, follows your processes and flags anything that needs your decision, such as pricing, refunds above your limit or a new supplier.

Product listings

Upload and update products, variants, photos, descriptions and SEO fields in Shopify, WooCommerce or BigCommerce.

Order processing

Check new orders for fraud flags, push them to your 3PL or warehouse, book couriers and update tracking.

Inventory and suppliers

Update stock levels, raise purchase orders, chase supplier ETAs and flag low stock before it runs out.

Marketplaces

List and manage products on Amazon Australia, eBay, Kogan, Catch or Bunnings MarketLink, and keep stock in sync.

Customer messages

Answer pre-sale questions, order enquiries, returns and exchanges from your help desk within the limits you set.

Store upkeep and reporting

Load promotions and discount codes, fix broken collections and send a weekly sales, stock and returns report.

How we screen

What we test before you see a shortlist

Every candidate has phone and video interviews with our recruiters and a skills assessment set for your role. For a ecommerce virtual assistant that covers:

  • A product upload task in a sample Shopify store, judged on accuracy, formatting and attention to variants
  • An order exceptions exercise: an address problem, a stock-out and a possible fraud order, and what they would do with each
  • Hands-on experience with at least one marketplace and one inventory or shipping tool you use
  • Written English for product copy and customer replies

Ecommerce Virtual Assistant FAQ

Common questions

Two colleagues planning work at a whiteboard
How is an ecommerce virtual assistant different from a customer service representative?

A customer service representative works the support queue all day. An ecommerce virtual assistant runs the back end of the store: listings, orders, stock, suppliers and marketplaces, with customer messages as one part of the job. If support volume is your main problem, hire a customer service representative.

Will they need access to our payment and banking details?

No. Give them a staff account in Shopify or WooCommerce with only the permissions the role needs, and keep payouts, billing and bank feeds with the owner. Most platforms let you hide financial reports from staff accounts.

Can they work with our 3PL or warehouse?

Yes. They can push orders, check dispatch, chase missing parcels and reconcile stock counts with your 3PL's portal, while the physical picking and packing stays in Australia.

Can they run our ads and social media too?

Some can help with simple tasks, such as loading products into a catalogue or scheduling posts. If ads or content drive your sales, hire a digital marketing specialist or social media manager as well.

What about peak periods like Black Friday and Christmas?

Plan them together. Your assistant can prepare listings, discount codes and saved replies weeks ahead, and you can agree extra hours or a second hire before peak.

How much does it cost in total?

Add the monthly salary to our fee. Ready for You is $5,999 + GST once, then $0 a month if you employ them or $350 a month if we employ them as Employer of Record. Managed for You is $1,000 a month on a 12-month commitment with no recruitment fee. IT options are extra and quoted with your role.
